How to View and Manage an Employee's Profile in Employee Navigator

Profile 

The profile tab contains the employee’s demographic, employment, dependent, and login information.

The PROFILE landing page, PROFILE, under MANAGE EMPLOYEE consists of the employee’s SSN and name, as well as company structure, such as class, department, and payroll group. Any field that is used for eligibility, such as class, will require a change effective date.  

Employment  

The EMPLOYMENT page consists of all employment information including hire date, termination date and employee ID. A TERMINATE OR REHIRE function is also available depending on employment status.

Leave Status 

The LEAVE STATUS is used to track different Leave types for an employee. Leave status is used  for tracking purposes only. Entering a Leave status, Leave start date, or Leave end date does not impact an employee's enrollment or eligibility. If an employee's enrollment/eligibility needs to be updated based on a Leave status, it must be handled manually.

Address 

The ADDRESS page consists of the employee’s address. Information can be added or changed in each area by clicking +ADD ADDRESS or EDIT. The address must be validated. Addresses will have statuses added to show the level of confident in the validity of the address, if the user  has interacted with the address, and if HR needs to review.

Contact 

The CONTACT page consists of the employee’s phone numbers and email address. Information can be added or changes in each area by clicking ADD PHONE+ or ADD EMAIL+. The reset  password feature is only available for the Primary email address listed.

Compensation 

The COMPENSATION page consists of the employee’s compensation (annual base salary, hourly rate, hours per week, and/or annual benefit salary. Information can be added or changed by clicking EDIT. Then, compensation information can be changed in the specific fields. An effective date will be required for the change.  

 

To adjust the salary for an employee:

1. Under the PROFILE tab, click COMPENSATION.

2. Click EDIT to the right of the Annual Base Salary or Annual Benefit Salary.

3. Enter updated salary and effective date and click SAVE.

Note: Some HR Users may be restricted from viewing salary data.

Scheduled Changes 

Upon demographic changes, the system performs a series processes to identify the results of the  change. If a change is detected, the user will be prompted for an effective date of the change. The change effective date cannot be a future date or prior to another demographic change effective date previously saved.

Personal 

The PERSONAL page consists of the employee’s date of birth, gender, and marital status.

Dependents  

The DEPENDENTS page consists of the employee’s dependents. Information can be added or changed in each area by clicking ADD DEPENDENT+ or EDIT. All required information will have a red border.

Emergency Contacts 

The EMERGENCY CONTACTS page consists of the employee’s emergency contacts if tracked. Information can be added or changed by clicking ADD CONTACT+ or EDIT.

Medical 

The MEDICAL page consists of the employee’s tobacco status, wellness program status, and other medical information if tracked.  

Job Description 

The JOB DESCRIPTION page lists the employee’s job roles, responsibilities, and goals.

Qualifications 

The QUALIFICATIONS page consists of the employee’s education, license, and certification if tracked. Information can be added or changed in each area by clicking ADD…+ or EDIT.

Login Access 

The LOGIN ACCESS page consists of the employee’s registration status, login name, and  primary email. From this area, a welcome email can be sent, as well as a password reset email.  The RESET PASSWORD feature is only available for the primary email address listed.

To reset an employee’s password:

1. Click RESET PASSWORD.

2. Click RESET or SKIP ANSWERS AND RESET.

Time Off 

The TIME OFF page consists of the employee’s PTO if tracked.

Withholdings 

The WITHHOLDINGS page consists of the employee’s Federal and State withholding information if tracked. This information is usually gathered from an Onboarding task.

Employment Verification 

The EMPLOYMENT VERIFICATION page consists of the employee’s attestation of citizenship and I9 documentation. This information is usually gathered from an Onboarding task.

Assets 

The ASSETS page, if available, consists of the employee’s assigned assets, such as laptops and  cell phones.
